Pay Range

$87,450 - $108,564 Annually

Please note that the pay range information is a general guideline only. Many factors are taken into consideration when setting starting pay including education, experience, the external labor market, and internal equity.


Job Description

We have an opening for an Office Manager to provide executive level support to the Operations and Business Principal Associate Directorate. You will perform a full range of advanced, diverse, and complex administrative services, using broad knowledge of the full cadre of operational and programmatic areas of the Laboratory. You will build strong rapport with the highest levels of LLNL management, as well as senior managers at external constituencies, such as the National Nuclear Security Agency/Department of Energy (NNSA/DOE) Laboratory Field Office and Headquarters and other laboratories. The environment is fast paced, with multiple deadlines and frequently changing priorities often involving extremely sensitive and/or classified information. This position is in the Operations and Business (O&B) Principal Associate Directorate (PAD).

You will

  • Represent the O&B PAD Office in daily interactions with senior management and executives across the laboratory; and the Department of Energy (DOE), National Nuclear Security Administration (NNSA), Department of Defense and other national laboratories.
  • Independently set priorities when committing Senior Leadership's time; organize, coordinate, manage highly complex and confidential calendars and prioritize the Deputy PAD's email. Support management in all aspects of their challenging schedules and responsibilities to ensure success in every situation with steadfast integrity, ethics, grace, proficiency, professionalism, and confidentiality. Regularly monitoring schedule while maintaining awareness of real-time activities.
  • Lead the implementation of business, operational and/or organizational strategies, objectives, and deliverables and prepare responses for requests for information on behalf of the O&B PAD Office.
  • Initiate, compile, coordinate, proof, format, edit, and finalize a variety of documents and email messages, most of which contain sensitive or privileged information, including correspondence, itineraries, reports, presentations, complex forms, and talking papers for management.
  • Research and analyze business and organizational issues, applying tactical thinking and serve as an advisor to effectively multiply management's productivity. Plan, execute, track and archive event activities for future reference. Oversee requests for information; compile and coordinate institutional information; provide input on a variety of business, operational, and administrative matters; and at times represent the organization.
  • Organize, plan and lead internal and external meetings/events; develop agendas, identify, and coordinate meeting attendees and presentation materials/event communications.
  • Assist senior management with organizing internal and external meetings; develop agendas, identify, and coordinate meeting attendees and presentation materials.
  • Arrange domestic travel and make complex itinerary adjustments as required; manage expense report submissions.
  • Recognize, create, and implement plans to promote and foster a culture of inclusion, diversity, equity, and accountability.
  • Perform other duties as assigned.

Qualifications
  • Ability to secure and maintain a U.S. DOE Q-level security clearance which requires U.S. citizenship.
  • Broad experience providing administrative support and representing senior management to diverse internal and external stakeholders.
  • Expert use of Microsoft Office Suite (PowerPoint, Excel, Word, Teams) and other applications and software.
  • Experience participating in and leading business, administrative, operational, and organizational activities, participating in a variety of organization projects and researching, interpreting, and applying a wide variety of policies, procedures, and guidelines.
  • Effective communication skills including excellent grammar, writing, proofreading, attention to detail and editing skills to effectively interact and represent the organization and Deputy PAD with all levels of management, both internal and external to the Laboratory.
  • Proficient organizational skills, attention to detail, accuracy, flexibility, ability to prioritize multiple and complex tasks, and ability to work under time constraints to meet short deadlines with frequent interruptions.
  • Ability to handle sensitive and confidential issues with tact and discretion, knowledge of appropriate handling of sensitive and classified documents.
  • Good analytical skills as well as the ability to anticipate, identify, and resolve complex problems in a rapidly changing environment, ability to work independently, as well as in a team environment with frequently changing priorities.
  • Experience implementing plans that promote and value inclusion, diversity, equity, and accountability principles in the workplace.

Qualifications We Desire

  • Broad, institutional knowledge of the Laboratory, its programs, business operations, and policies and procedures; knowledge of external organizations.

Security Clearance

This position requires a Department of Energy (DOE) Q-level clearance.If you are selected, wewill initiate a Federal background investigation to determine if youmeet eligibility requirements for access to classified information or matter.
